Patient Responsibilities:

In the rare occurrence that you have technical or privacy issues, you may find reviewing this list helpful. Most sessions go well without issue. Be rest assured your provider has excellent Wifi and backup devices and internet sources. We hope the below is helpful in allowing you to connect with your provider in an ongoing meaningful way.

  • We can only see patients physically located in NH or MA at time of your session. If you are not in one of these states, kindly reschedule.

  • You must be in a private location in your home or workplace. There can be no other people in the room (headphones do not create privacy).

  • You may not be in a car, moving or immobile (including your driveway or garage)

  • You may not be in a public location such as shopping center or parking lot or outside a yard.

  • If you are running late call our office to reschedule. We allow a ten-minute grace period which will not extend your visit into the next patient’s appointment. Thank you for being courteous to our other patients.

  • If Mandi has not joined you after ten minutes of your appointment time call the office right away.

  • It is your responsibility to ensure you have excellent wifi at work or home. It is important that you are near internet router. We encourage you sit near your wifi source inside your home. Please do not walk around or go to attics or basements. If your connection is not stable clear the cookies on your device. Ensure your internet and device can support the visit (HIPAA encrypted Practice Fusion is different than facetime or Zoom, make sure you have closed both), if others are streaming in your home or highly utilizing internet in your home it will affect the connection. Close out of all streaming apps (including spotify and Youtube). Sometimes you may seem to have wifi (bars) connection on your device but if too many people are utilizing your internet source you can not have synchronous connections (our visits). Please ensure your internet can tolerate multiple users at one time.

  • If your wifi is not adequate for an audio visual appointment, please directly plug into your router. Sometimes the telehealth platform (Psychology Today) may give a message that your session has timed out. It is not a timed session, this message indicates your connection to the internet is poor. If your provider can not connect the session at all it also indicates a poor connection on your end.

  • To ensure you can have a successful appointment, close all apps (including your phone which may mean going into your browser app and making sure all are closed) and Bluetooth devices as they interfere with the HIPAA encrypted software used for telehealth. This includes Bluetooth headphones. VPNs can interfere with the integrity of the session or connecting (please disable VPN for your session).

  • Make sure your music is turned off such as Spotify and videos such as Youtube.

  • Clear the cache and perform disk clean up before your session to ensure your device can work properly, this includes phones and tablets.

  • Psychology Today (the HIPAA encrypted telehealth platform) works best with computers/laptops. If you consistently have difficulty with your phone or tablet, please ensure you have a computer to use. If your screen pauses often or the video is choppy, you will need to use a laptop which is in good working order.

  • Do not attend your session when driving or leaving your home, your provider will end the session as this is not allowed. If you cannot make your appointment time for it’s full time, we are happy to reschedule you. This also pertains to keeping the appointment length you signed up for. Thank you for understanding.

  • All HIPAA and safety rules apply to telebehavioral health just as they do in a traditional office. Please be sure to complete and review the Telebehavioral Health Consent Form and the Telebehavioral Health Safety Plan prior to your session. Our FAQ page is here.

Please be aware, even if your phone or device “has full bars” this does not necessarily mean your internet is working well. Bars on your cell phone show your signal strength to your phone’s provider. You may need to contact your internet provider to inquire about internet issues and bandwidth. Other people using your internet source can affect bandwidth and internet quality. Moving around can also effect quality. Weather and certain rural locations can effect quality.

If you have persistent issues listed above that cannot be resolved, the office staff will be happy to connect you with a practice offering in office services. Telehealth is a wonderful way to connect with healthcare, but we do need to be able to connect with you in a meaningful way.
